Privacy Policy

Grove Reunions is operated by TradeWorks Pro, LLC. This policy covers grovereunions.com and the Grove Reunions app.

What we collect

Grove collects the information you provide when you create an account, set up a group, or RSVP to a reunion. This includes names, email addresses, phone numbers (optional), RSVP responses, payment information (processed by Stripe; we do not store card numbers), and any content you post in the community.

How we use it

Your data is used to run the product. RSVPs go to the organizer. Payments are processed through our payments provider. Photos are stored with our media provider. Emails are sent through our email provider, and texts (only for people who opt in) through our text message provider. We use Google Analytics, loaded only after you accept cookies, to understand how Grove is used. Our public website pages (not your family's pages or personal links) also use Vercel Web Analytics, which counts visits in aggregate without cookies and without identifying you. When you sign up, we save how you first found Grove (the website or campaign that sent you and the page you landed on, kept in a Grove cookie on your device until then) with your account, and links in our emails carry a campaign tag, so we can tell which outreach works; this stays with Grove and is never shared or sold. We do not sell your data, show ads, or share information with third parties for marketing purposes.

Who can see your data

Private family content. Posts, photos, stories, voice recordings, messages, member profiles, and the family archive are visible only to members of your family or group, according to the group's permissions. Organizers can see RSVPs, payment status, and roster information. Guests with a personal link can see limited information about their own RSVP without creating an account. Your content is never visible to members of other groups.

The public invite page. Each reunion has an invite page at a shareable link so family can RSVP without an account. Anyone with that link can see what the organizer puts on it: the reunion name, dates, venue, schedule, pricing, the flier, organizer contact names and roles, and any payment handles the organizer adds. It also shows the family's branch names and motto, the family elder's name if the organizer sets one, and the number of RSVPs. If guests share a photo when they RSVP, it appears in the “Who's coming” section only after the organizer approves it.

While the reunion is live, the page can also show check-in counts, shoutouts the organizer has approved, photos from the photo wall (guest photos wait for the organizer's OK; family members' photos post directly unless the organizer turns on review), and the In Memoriam names the organizer chose to honor. After the reunion, it can show the capsule's summary stats, up to 6 approved shoutouts, and up to 12 photos that were already on the public photo wall (never photos shared privately to the family's memory vault). Other private family content (the feed, messages, stories, recordings, the archive, and member profiles) never appears on the invite page.

Guest tokens

Guests who RSVP via a personal link do not need to create an account. We track access for security purposes (IP address and user agent) and flag unusual activity, but we do not block access automatically.

Text messaging

If you opt in to text messages, we keep your mobile number and a record of your consent: the consent wording you agreed to, where you agreed, the time, and the IP address and browser you used. We also keep a log of texts sent to and received from your number, including STOP and HELP replies. We use this only to send the reunion updates you asked for and to honor opt-outs. Mobile numbers and SMS opt-in consent are not shared with or sold to third parties or affiliates for marketing purposes. SMS consent data is shared only with the service providers that deliver the messages.

You can stop texts anytime by replying STOP or turning them off in Settings, Notifications.

Trying Grove without an account

If you upload a flier on our website to preview a reunion page before signing up, the file is sent to our AI provider to read the event details, and the details are shown back to you. Grove does not store the file or the details on our servers. If you then start a reunion, the preview is kept in your own browser until your reunion is created, and is then saved to your reunion like any other upload.

AI features

Some features use AI: reading fliers, drafting meeting agendas and summaries, suggesting polls, sorting posts in the family feed, and transcribing voice stories and calls. The content is sent to the provider only to perform that task. We use these services under terms that do not allow them to train their models on your content, and we opt out of voluntary training programs where a provider offers one.

Data export and deletion

You can request a copy of your data or ask us to delete your account from Settings, Privacy & your data (or email privacy@grovereunions.com). We confirm your request by email and reply when it's done. When we delete an account, we remove your personal information; content you posted in community channels may be retained in anonymized form for other members of your group.

Third-party services

Grove uses Supabase (database and authentication), Stripe (payment processing), Cloudinary (media hosting), SendGrid (email delivery), Anthropic Claude API (flier reading, meeting summaries, and other AI features), LiveKit (voice and video rooms), Deepgram (voice transcription), Adilo (video hosting), Sentry (error monitoring), Vercel (hosting; cookie-less, aggregate site analytics on our public website pages; and page-speed measurements on every page, which record only which kind of page loaded and how fast, never your name, your reunion or your personal link), Klipy (GIF search), and Google Analytics (usage analytics, loaded only after cookie consent). Each operates under its own privacy policy.
